How a petty cash audit review runs with Aidatasolutions — from intake to exception schedule.
A review should feel predictable for your custodian and your controller. Below is the path we follow for a full petty cash float examination; shorter voucher checks and surprise counts use the same spine with fewer steps.
The path
Intake conversation
You tell us the float location, authorised amount, custodian name, and why you want the review now (month-end, franchise visit, donor check, or recurring policy). We confirm whether a full examination, voucher spot-check, or surprise count fits.
Document request list
We send a short list: last replenishment claim, authorised float memo, voucher packs for the period, and access notes for the safe or till. Nothing exotic — if you do not have a formal memo, say so.
Fee note and date hold
You receive a written fee note. A 30% deposit holds the fieldwork morning for full examinations. Surprise counts are confirmed by week window rather than exact hour.
On-site fieldwork
We arrive, meet the custodian, observe the count, and walk the vouchers. Finance contacts stay available by phone if they cannot sit through the whole morning.
Exception schedule
Within three business days you receive the written schedule and a brief narrative. We offer a 30-minute call to walk through findings. Follow-up visits are separate engagements if you want them.
What we need from you
Clear access to the float, a custodian who can open the safe, and honesty about known issues (for example, an IOU already in the tin). Hiding a known shortage only lengthens the day.
